Privacy policy
Updated 22 October 2026
This policy explains what data the fleetiq.pro website collects, why, where it is stored and how you can manage it. We collect only what is needed to respond to your request and to show the website in your language. The website does not use analytics, advertising networks or third-party trackers.
Who is responsible for your data
The data controller is X123 LTD, the company that develops the FleetIQ platform and operates this website. For any questions about your data, write to info@fleetiq.pro.
What data we collect and why
Requests submitted through website forms
When you submit a form (a demo request, access to the demo environment, a pricing estimate or another question), we receive:
- your name;
- the email address, phone number or Telegram username you provided;
- your city or country, fleet size, company and message text, if you filled them in;
- your chosen contact method and the subject of the request;
- the language and address of the page from which the form was submitted;
- your IP address and the time of submission.
We use this data to respond to you, provide access to the demo environment and prepare an offer. The legal basis is taking steps at your request prior to possibly entering into a contract (Article 6(1)(b) GDPR). We store the IP address and time to protect the form against spam and abuse; this is our legitimate interest (Article 6(1)(f) GDPR).
Website language selection
When you open the main address fleetiq.pro, the server determines your country from your IP address and shows the website in the corresponding language. The IP address is used only at the moment of the request and is not stored anywhere. For this we use the IP Geolocation by DB-IP database (CC BY 4.0 licence), which runs on our own server, so your address is not transferred anywhere. The legal basis is our legitimate interest in showing the website in a language you understand (Article 6(1)(f) GDPR).
Cookies and local storage
The website uses only strictly necessary technical entries in your browser:
fleetiq_lang— a cookie that is set only if you choose a language yourself in the language switcher. It remembers your choice for 1 year.fleetiq-theme— an entry in your browser's local storage, if you switched to the light or dark theme.
These entries contain no personal data and are not used for tracking, so separate consent is not required for them. You can delete them in your browser settings.
Technical logs
The web server does not keep a log of website visits. The request service records only technical events in the system log (for example, that an email was sent or could not be sent), without your contact details.
Where data is stored and who has access to it
Requests are stored on our server in the UK, and a copy of each request is sent by email to our business mailbox. Only FleetIQ staff who respond to requests have access to them. The website, fonts and icons are loaded only from our own server, without third-party services.
We use two providers that process data on our behalf:
- SSD Nodes — server hosting in the UK;
- Hostinger — email service for the info@fleetiq.pro mailbox.
The UK is covered by a European Commission adequacy decision on data protection, so no additional safeguards are required for transferring data there from the EU. We do not sell your data, do not share it for advertising and do not make automated decisions about you.
How long we keep data
Requests are kept for up to 24 months from the date of submission, so that we can continue the conversation if you come back later. After that, they are automatically deleted from the server. If you ask, we will delete them sooner.
Your rights
Under the GDPR, you have the right to:
- find out what data we hold about you and obtain a copy of it;
- have inaccurate data rectified;
- request erasure of your data;
- restrict processing or object to it;
- receive your data in a convenient machine-readable format.
To exercise any of these rights, write to info@fleetiq.pro. We will respond within one month. You can also lodge a complaint with the data protection supervisory authority in the country where you live or work.
Children
The website is intended for businesses and is not aimed at persons under 16 years of age. We do not knowingly collect their data.
Changes to this policy
If we change the way we handle data, we will update this page and the date at the top.
